Privacy policy
RollShip (rollship.co.uk) helps people get vehicle-shipping quotes from vetted UK shipping specialists. This page explains what information we collect, why, and what we do with it. It's written to be read, not skimmed past.
What we collect
- Quote details: collection address, destination, vehicle make, model, year, value range, condition, your handover and timing preferences.
- Contact details: your name, email address and phone number.
- Vehicle registration (optional): if you use the number plate lookup, the registration you type in.
- Anything you add: notes you include with your enquiry.
- Technical basics: your IP address for spam prevention and rate limiting, plus standard server logs. For first-party website analytics, RollShip stores the page path, event type and referrer without its query string; the event IP is immediately replaced with a one-way pseudonymous value rather than stored in raw form. Analytics events are retained for up to 180 days.
- Advertising attribution: if you arrive through an advert, the Google click identifier and campaign parameters in the landing-page address. We store these with an enquiry so we can measure whether advertising produced a genuine quote or booking.
- Documents you choose to upload after enquiring: identity, vehicle ownership, address, finance and consignee documents requested for shipment readiness.
We don't run remarketing or build advertising profiles. The Google Ads tag currently runs with advertising, analytics, user-data and personalisation consent set to denied for every visitor. It may send Google a cookieless conversion-measurement signal, but it is not allowed to create advertising or analytics storage. We use short-lived session storage to preserve campaign parameters while you complete the quote form.
Why we collect it
One reason: to get you accurate shipping quotes. The vehicle and route details make the quotes accurate. The contact details are how the quotes reach you.
We use advertising attribution to understand which campaigns produce genuine enquiries and accepted bookings, prevent duplicate conversion counting and avoid spending money on irrelevant traffic. Our lawful basis for this limited measurement is legitimate interests. It is not used for remarketing or automated decisions about you.
Who we share it with
With your consent (the tick box on the quote form), we share your enquiry with the shipping specialists who serve your route, so they can quote. Usually that's one to three companies. Each is vetted by us before they ever receive an enquiry.
We never sell your data. We don't share it with advertisers, brokers or anyone else outside the quoting process.
Our Google Ads tag communicates denied consent and limited cookieless measurement signals to Google. If an advertising click leads to a later business milestone, its click identifier may be used for conversion reporting. We do not send document contents to Google.
Document uploads and assisted checks
If you proceed with a quote, you may be offered a private link to upload documents needed to prepare the shipment. Files are stored outside the public website with access restricted to RollShip operations.
We use Anthropic's Claude service to extract visible fields and flag possible mismatches for an operator. This is an assistive check only: Claude does not approve or reject a document, and a human makes every decision. The uploaded file and resulting extraction are deleted after 180 days for an active enquiry, or after 30 days when an enquiry is marked lost or junk. A daily automated purge enforces those limits.
Number plate lookups
The quote form has an optional "Find my car" button. If you use it, we send your registration to UK government vehicle services so we can fill in the make, model, year and MOT history for you. It saves you typing them out.
- Where it goes: the DVSA MOT History API, and the DVLA Vehicle Enquiry Service where available. Both are UK government services.
- What comes back: vehicle facts only. Make, model, year, fuel, MOT dates, results and recorded mileage. Nothing about you, and nothing about who owns the vehicle.
- It is optional. Skip it and type the details in yourself. Your quote is exactly the same either way.
- What we keep: the vehicle details that come back are stored with your enquiry, so the shipping specialists can quote accurately.
Our lawful basis is legitimate interests: giving you an accurate quote with less typing and fewer mistakes.
How long we keep it
Enquiry records are kept while your quote and any booking are active, and for a reasonable period afterwards for our records. If you want your data deleted sooner, one email does it.
Your rights
Under UK data protection law (UK GDPR and the Data Protection Act 2018) you can ask us at any time to:
- Show you the data we hold about you
- Correct it
- Delete it
- Stop contacting you
Email [email protected] and we'll act on it promptly. If we've shared your enquiry with a partner, we'll tell you who, so you can exercise the same rights with them. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Security
Enquiries are transmitted over HTTPS and stored on UK/EU-based servers with access limited to the people who handle your quote.
Changes
If this policy changes, the date at the top changes with it. Material changes will be flagged clearly on this page.
